Description The Public Health Department's Family Health area is seeking 3 full-time (1.0 FTE) and 1 part-time (0.8 FTE) Family Health Office Specialist, Principal to join their team. Under limited supervision, these positions will perform work involving the application of technical expertise and independent judgment in the preparation of specialized departmental documents, the use of computerized information systems, public service contact, and administrative support. Location and hours: These positions are hybrid and will be expected to be onsite several days per month at 2000 Summer St. NE, Suite 100, Minneapolis, MN, 55413. Work hours will be Monday through Friday, with flexible hours between 7 a.m. - 5 p.m. No weekend, overnight or holiday shifts are required. While this position is designated as hybrid, based on current requirements hires must reside in Minnesota or Wisconsin. New employees who are hired into remote or hybrid positions between January 2, 2022 to December 31, 2024, will receive $500 toward the cost of establishing consistent internet connectivity, payable upon completion of 6 months of employment. Provide clerical and administrative support for the Family Health Program leadership and team members.
Coordinate intake for all Family Health referrals assigned to Hennepin County Public Health programs operated by Hennepin County into PH-doc in adherence with billing and data compliance requirements.
Assist with Family Health reporting requirements as needed
Manage Intake/Referral/Outreach SharePoint and Teams sites
Coordinate and enter client information and visit documentation into Salesforce for Family Connect program, complete post visit connection (PVC) calls with Family Connects participants, and monitor and report Family Connects model fidelity metrics to program leadership.
Order, inventory, coordinate distribution, and record client support items and gift cards (i.e., strollers, diapers, Pack and Plays) and order and stock medical supplies and Personal Protective Equipment (PPE) for home visiting staff.
Coordinate and schedule client visits for Family Home visiting staff.
Coordinate and assist with completing required documentation into FLO database for Nurse Family Partnership (NFP) and assist NFP supervisors with NFP metrics and model fidelity.
Audit and monitor department dailies in PH doc including TANF eligibility, interpreter services billing, grants and program funding sources, and grant reporting.
Need to have:
One of the following:
Three years or more of office clerical experience.
30 months or more of office clerical experience and completion of the Office Specialist Pathway Training program.
A combination of office clerical experience and post high school education, totaling 3 years or more (3 semester credits = 1 month).
Nice to have:
Strong verbal and written communication skills using business correspondence format and style.
Strong organization and time management skills.
Experience:
Working with Early childhood, family health and/or family home visiting programs including NFP, Healthy Families America (HFA), Family Connects and Teen HOPE.
Working with families participating in home visiting programs throughout Hennepin County.
Utilizing Microsoft Teams, Excel, Word and Outlook.
Working with Public Health Doc (PH-doc), Salesforce and Epic.
