Hennepin County's Health and Human Services department is seeking to fill an Office Specialist, Principal vacancy for the Strategic Systems Leadership area. This position will provide a variety of clerical, administrative, and office services. This position will be responsible for developing, coordinating, and assisting with training of office support staff. The Office Specialist, Principal will also provide assistance for the Central Northeast (CNE) office support staff on day-to-day tasks when the supervisor is not available, schedule meetings and reserve rooms for CNE Human Service Center meetings, and assist with managing and updating the Human Service Center SharePoint site.
Location and hours:
This position is on-site at the Central Northeast Minneapolis Human Service Center at 525 Portland Avenue South, Minneapolis, MN 55415. Work hours for this position are Monday - Friday, 8 a.m. - 4:30 p.m.
In this position, you will:
Establish and maintain effective working relationships with staff, business partners, and leadership by serving and supporting staff using various communication methods, while giving clear and concise information and/or direction.
Understand workflow and duties for office specialist staff in the region with focus on integration and system improvement (Q-Flow, receptionist duties).
Develop, coordinate, and assist with training of office support staff at the front desks and in TAS (Technical Access Space), and provide up-to-date processes. Be the point of contact for all facility related issues and consistently update the list of staff contacts.
Schedule meetings and reserve rooms for CNE Human Service Center meetings as needed and provide assistance with equipment (star phone, video conferencing, etc.).
Provide assistance to the CNE office support staff on day-to-day tasks when the supervisor is not available and cover for office support staff when needed.
Order supplies, maintain Principal Place Of Business (PPOB) as requested with supervisor approval, organize information in the Human Service Center folder.
Collaborate with other POSs (Principal Office Specialist) and other office support staff from other regions and related areas/programs on projects and assignments and attend POSs’ monthly meeting at varied locations with supervisors’ involvement.
Assist with managing and updating the Human Service Center SharePoint site and related items as it related to CNE Human Service Center.
Need to have:
One of the following:
Three or more years of office clerical experience.
30 months or more of office clerical experience and completion of the Office Specialist Pathway Training program.
A combination of office clerical experience and post high school education, totaling 3 years or more (3 semester credits = 1 month).

Experience:
Using databases and computerized systems to perform data entry where accuracy is essential.
Facilitating meetings for groups and taking notes.
Working with Microsoft Office suite (Excel, Outlook, Teams & Word).
Excellent customer service skills with the ability to conduct oneself professionally and handle sensitive/difficult issues in a respectful manner, particularly issues of a confidential nature.
