Administrative Assistant

 

Jan-Pro Twin Cities based in Hopkins, MN is seeking an Administrative Assistant to join our team. 

 

Due to our tremendous growth and success, we are seeking an additional Administrative Assistant to provide customer service and support to the regional office staff, our franchise owners, and customers. 

 

Jan-Pro Cleaning Systems is a leading franchise company and has been recognized as the Fastest Growing Franchise by Entrepreneur Magazine five years in a row. This position is with the Franchisor in the Minneapolis / St. Paul region.

 

The Administrative Assistant position is responsible for assisting the Owner and Director of Sales and Operations in all aspects of administrative procedures including franchise and customer transactions, accounting assistance, customer service, data processing, public relations and general office administration. Description of Duties:

  • Answer general incoming calls professionally, clearly, and courteously

  • Accurately direct calls to appropriate parties

  • Takes accurate, complete, and legible telephone and verbal messages

  • Greet and acknowledge all visitors courteously and promptly

  • Generate and distribute appropriate information to prospective Franchise Owners

  • Compose, draft, complete and edit operational, franchise and customer correspondence as instructed

  • Complete Monthly Customer Service Calls

  • Assist others by sending letters, making copies and making reservations, when requested

  • Maintain accurate, updated and organized files

  • Confirm and records appointments efficiently to avoid conflicts of time and to ensure visitors are received in a timely manner

  • Provide accurate and prompt information to management, employees, prospects, clients and visitors as requested

  • Print and distribute reports when needed

  • Maintain and control daily cash collection and accounts receivables reporting system and work in conjunction with the Director of Sales and Operations on possible collection actions

  • Assists in all areas of accurate and timely data entries of customer and Franchisee transactions

  • Coordinate and communicate with Director of Sales and Operations in the identification of customers that delinquent invoices and follow procedures to facilitate collection.

  • Maintain inventory control and needs within all areas of the office

  • Support the Regional Director/Master Owner in generation of business correspondence for Franchise Owners and/or potential Franchise prospects

  • Perform other related tasks and activities as assigned

 

PREREQUISITE KNOWLEDGE, SKILLS, AND EDUCATION:

  • High school diploma or GED, Associates degree preferred.

  • 2-years performing in administrative office function in a high activity business environment

  • Excellent written and verbal English communication skills

  • Excellent Time Management and Multitasking Skills

  • Clear and pleasant telephone manner

  • Pleasant and professional demeanor

  • Ability to enter data efficiently, timely and correctly in order to meet deadlines

  • Good planning and organizational skills

  • Well-developed verbal, listening, and written communications skills

  • Ability to work independently or as a team player

  • Attention to detail and a high level of accuracy and confidentiality

  • Professional appearance

  • Highly Organized

  • Proficient in MS Office products including Word, Excel, PowerPoint and Outlook

  • Knowledge / Experience with QuickBooks, preferred

  • Ability to take detailed and accurate notes and messages

  • Ability to document detailed and accurate prospect and client information in electronic database

PHYSICAL AND MENTAL REQUIREMENTS:

  • Ability to function in fast paced environment

  • Manual dexterity to operate a computer and other electronic devices

  • Ability to take legible hand-written notes where necessary

  • Correctable vision and hearing

  • Excellent interpersonal skills

  • Clear, easy to understand oral communication ability

  • Ability to sit for prolonged periods

  • Ability to lift 25 lbs.

 

This position is full-time Monday through Friday, 8:00 – 5:00 PM.  Jan-Pro offers a competitive compensation and benefits package based on experience and the opportunity to grow.
