Maintenance Planner/Scheduler @ Walters Recycling and Refuse

Walters is a leading provider of waste collection and recycling services to both the public and private sectors in the Twin Cities metropolitan area. We are a family owned and operated business started in 1988 with a fleet of nearly 70 diesel and compressed natural gas (CNG) powered trucks and over 65,000 customers.

 

Position Summary

 

Reporting to the Fleet Maintenance Manager, the Maintenance Planner/Scheduler is responsible for assisting the organization in achieving effective asset performance through the systematic application of work planning and data management, and acting as the key point of daily, proactive contact to keep Operations personnel informed on work pending status.

 

This is a key role that assists in balancing/managing the daily/weekly and seasonal operational needs with the workload in the shop and outside vendors.  The Planner/Scheduler will maximize the efficiency of maintenance work performed by ensuring that work orders have been thoroughly analyzed to determine the exact scope of the job.  The Planner will ensure that the necessary resources have been identified and are staged and ready for job execution before scheduling and starting work.

 

The Maintenance Planner/Scheduler provides a key link in the Work Management process, being responsible for the proactive portion of maintenance activities.   The Planner/Scheduler is expected to identify, plan, coordinate and communicate to all stakeholders the activities that will be performed in the future, not just day-to-day activities. 

 

Principal Responsibilities

  1. Generate and input work orders from Vehicle Condition Reports (VCRs). Ensure all accepted work orders are reviewed, prioritized, and have a detailed work plan consisting of the required manpower, duration, safety procedures, tools, materials, equipment, and specifications.

  2. Create job plans for maintenance work orders that include craft skills, parts, tools, equipment, information, permits, and expertise (internal, external, equipment) required. Develop job standards to ensure work is performed within acceptable and optimal limits and meets all safety and compliance requirements.

  3. Use previous experience, Dossier history, and subject matter experts to determine manpower requirements and length of time needed to execute a work order.  ​

  4. Create and maintain equipment files with standard job packages, including accurate and complete Bills of Material and any relevant technical information to ensure continual improvement of planned work execution.

  5. Facilitate routine cross-functional planning meetings with assigned business unit to review Dossier backlog and verify work priorities for the upcoming weekly schedule. Coordinate upcoming maintenance work with the production schedule to ensure access to equipment at the agreed-upon time.

  6. Develop, maintain, and report on metrics relevant to the planning process, such as schedule compliance, planning accuracy, backlog aging, and budgetary compliance.

  7. Optimize the plant Preventative Maintenance program by evaluating task lists, part requirements, and frequencies, with input from maintenance technicians, supervisors, and inventory management team.

  8. Coordinate with Inventory Management team on decisions to send components out for refurbishment, minimum/maximum stock levels, addition and removal of items from stock, creation of job kits, and requests for capital spares.

  9. Develop daily and weekly detailed schedules for maintenance supervisor.  Develop six-week forward plan.

  10. Serve as chairperson for the weekly scheduling meeting.

  11. Develop detailed schedules and track progress of all maintenance and engineering work to be executed during extended shut-downs in assigned area using Critical Path Method tools.

  12. Participates in Total Process Reliability (TPR) Program.

  13. All other duties as assigned.

Measurements of Success include:

  • Weekly Schedule Compliance > 80%

  • Planning Accuracy +/- 15%

  • PM Schedule Compliance >80%

  • Planning Meeting Schedule Compliance >90%

  • Planning Meeting Attendance > 80%

  • Planned Backlog = 4 weeks

  • Backlog Aging (Workorders >45 days old) <= 10%

Minimum Qualifications

  • Associate degree or equivalent from a two-year college or technical school, bachelor’s degree preferred.

  • Two years of relevant experience or training

  • Computer savvy – Microsoft Office proficient with the ability to learn and leverage fleet management and other systems to drive efficiencies.

  • Politeness, confidence, tact, patience and diplomacy while dealing with complex problems.

  • Motivational, listening, and problem-solving skills.

  • Strong attention to detail.

  • Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers and internal customers. 

  • Ability to work with mathematical concepts such as fractions, percentages, ratios, and proportions to practical situations.
