Client Service Administrator @ Boulay
Due to our growth, Boulay, one of Minnesota's largest regional accounting and financial consulting firms, located in Eden Prairie, is currently seeking a talented, enthusiastic individual to join our firm as a Wealth Management Client Service Administrator.
This position is entrusted with client service and operational functions for our Wealth Management clients, including the following:
Organize and prepare materials for advisor/client meetings and ensure all materials are properly compiled and delivered to advisor prior to each meeting
Provide support for Wealth Management services including:
Administrative services for 401(k) and Insurance service lines
Prepare, edit and type a variety of confidential material, reports and correspondence
Research account and product information
Answer telephone, screen calls, take messages and receive visitors
Coordinate individual licensing compliance
Problem solve and implement solutions
Manage wealth management files and client databases
Schedule appointments and coordinate arrangements for meetings, education and marketing events
Open, enter, and close agreement/document management and maintenance requests
Meet with clients to complete new and established account documents
Requires a high level of tact and discretion due to the frequency of high level internal and external contacts
Research and respond to general or specific customer inquiries. Follow established procedures with direction of advisors to find answers and create responses in a timely manner
Perform daily downloads, reconciliation and research for various software packages
Ability to effectively interface with vendor customer service departments directly and resolve issues, follow and explain policies and procedures, problem solve, multi-task, and meet deadlines
Follow-up with other client advisors as needed (CPAs, attorney’s etc.)
Assist with Broker/Dealer office inspections and audits
Assist in the On Boarding of Wealth Management employees
Assist with marketing compliance activities
Other duties as assigned
Qualifications include:
At least 3-5 years of client service and administrative support experience within financial planning, banking or insurance environments
High School Diploma
Proficiency in Microsoft Office
Excellent organizational, problem-solving and interpersonal skills
Organized, ability to multi-task, follow-up skills and self-directed
Maintenance of firm and client confidentiality at all times
Extremely accurate and thorough
Strong ability to meet deadlines and perform under pressure
Able to communicate with clients respectfully and professionally
Client-service focused
Team player, collaborative, able to work with and through others
Experience with Customer Relationship Management and Document Management software (preferred)
