CPhase Financial, a values based and growing wealth management firm, is seeking a Director of Operations to support our mission of enhancing the quality of our clients’ lives through assisting them in the process of identifying and reaching their financial goals.

C-Phase Financial is a fee-based Financial Advising Firm that offers objective, unbiased, and prudent advice on an hourly, project, or ongoing basis. We work with each client to understand their specific situation and circumstances so that we can create proactive, customized, transparent, and easy to understand financial plans. Our goal is to give each client peace of mind to help build and maintain future wealth. Thomas L. Tollefson founded C-Phase Financial to provide financial guidance for people of all ages and stages in life and of all levels of wealth. The Director of Operations plays a critical role in both the back-office functioning of our firm and in setting the tone for our organization. This individual keeps the office running smoothly and ensures all paperwork and processing is handled in a timely, accurate, and professional manner while also delivering extraordinary client service. This individual must be professional, caring, and genuinely interested in making clients feel special and well cared for.

Responsibilities and Activities

  • Processes new accounts- enters in CLIC, and images all account paperwork

  • Processes account transfers

  • Processes new contributions and redemptions

  • Processes beneficiary changes

  • Creates client meeting books and reviews

  • Manages client update letters, emails, and phone calls

  • Handles incoming telephone calls

  • Coordinates the assembly and mailing of client paperwork

  • Develops, mails, and analyzes client satisfaction surveys

  • Makes monthly and quarterly “stay in touch” calls

  • Manages online/social media presence

  • Takes a lead on research and development of branch technologic updates – “building systems to enhance client experience”

  • Coordinates client events (location selection, food and beverage service, audio/visual needs, RSVP process, invitation design, nametag creation, compliance records, post-event debrief and analysis, etc..)

Knowledge, Skills, & Abilities

  • Required:

  • Excellent attitude and extraordinary client service orientation

  • A strong focus on getting the details right

  • Excellent organizational and time management skills

  • An ability to handle multiple tasks within tight time frames

  • Proficiency with Microsoft Office Suite

  • Strong analytical and research skills

  • Strong verbal, written, presentation, and interpersonal communication skills

  • Helpful:

  • Interest in and knowledge of financial markets and investment securities

  • A zeal for learning new technology and software programs

  • Previous securities industry experience

  • Knowledge in marketing strategies for Investment Advisors

  • BA/BS degree in finance related field from and accredited institution
