Description
Hennepin County’s Facility Services department is seeking an Office Specialist III to manage the electronic document storage system. This position will perform work in a senior level office support capacity involving the application of technical skill to non-routine issues. This position will process repetitive tasks within the electronic document storage system, FileNet. This role will work with various Hennepin County partners and other divisions within Facility Services to follow and meet document storage standards. Location and hours:
This position will be performed both on-site at the Government Center at 300 South Sixth Street, Minneapolis, MN 55487 and remote as job duties require. Work hours will be Monday through Friday, with typical hours between a timeframe of 6 a.m. - 6 p.m. While this position is designated as hybrid, based on current requirements hires must reside in or relocate to Minnesota or Wisconsin. New employees who are hired into remote or hybrid positions between January 2, 2022 to December 31, 2024, will receive $500 toward the cost of establishing consistent internet connectivity, payable upon completion of 6 months of employment.

In this position, you will:
· Remove electronic documents from FileNet into the shared network drive
· Tag all documents within FileNet with relevant metadata.
· Upload completed project information into FileNet.
· Upload building documents into FileNet as needed.
· Assist the finance team.
· Take over other clerical tasks from previous administrative personnel.
· Assist with payroll/performance review transactions.
· Complete other projects within the department as assigned.
Need to have:
· One of the following:
o Two years or more of full-time office clerical experience.
o Completion of two years or more of post-high school education.
o 18 months or more of office clerical experience and completion of the Office Specialist Pathway Training program.
o One year or more of office clerical experience and completion of the Human Services Pathway Training Program.
Nice to have:
· Experience:
o Resolving technical issues.
o Performing front desk duties.
o Handling multiple complex tasks simultaneously.
o Providing customer service in person, on the phone, and email.
o Answering technology related questions.
o Working with FileNet software.
o Working with computers and Microsoft Office software including Word, Excel, and Outlook.

o Provide great customer service and communicate effectively both verbally and in writing.
o Process repetitive transactions.
o Use independent judgment and excellent prioritization skills.
