Description
Hennepin County Library Operations team is seeking an Administrative Assistant to join the Capital Projects and Continuity of Operation’s team. This new position will support the department’s team in the execution of administrative tasks related to the management of the department operations.
To be successful in this role, an individual must have experience in project management and operations, demonstrate their ability in establishing and maintaining effective working relationships, create, promote and maintain a work environment in which all are respected, manage multiple demands and prioritize work.

Location and hours:
This position is hybrid and will be performed both on-site at 12601 Ridgedale Dr. Minnetonka, MN 55305 and remote as job duties require. The hours are flexible with standard hours of 8 a.m. - 4:30 p.m. Monday through Friday. While this position is designated as hybrid, based on current requirements hires must reside in Minnesota or Wisconsin.
New employees who are hired into remote or hybrid positions between January 2, 2022 to December 31, 2024, will receive $500 toward the cost of establishing consistent internet connectivity, payable upon completion of 6 months of employment.

In this position, you will:
Assist and support tasks related to building project renovations including managing schedules, prepare and document staff and community meetings, assist project managers with move management process, collection moves, building closures and openings.
Coordinate equipment and furniture replacement purchases; Research and source new products, track receipt, delivery and installation of purchased products.
Coordinate and prepare building project submissions for publications, update and maintain department SharePoint pages, compile, update and distribute building standards documentation.
Assist and support the continuity of operations (COOP) work with document and policy updates for libraries, COOP related visits to buildings, scheduling, preparation and distribution of materials.
Serve as a liaison for facilities-related issues; support data retention policy and assist in the management of records and materials storage.
Need to have:
One of the following:
Four or more years of general administrative work experience relating to the position or in a specialty area appropriate to the position.
Bachelor's degree or higher in education, public administration, or other field appropriate to the position.
Nice to have:
Knowledge of:
Administrative principles and practices relating to the management of building projects and operations.
Architectural terminology, construction documents and floor plans.
Library trends and how these trends can be applied to provide an innovative patron experience for Hennepin County residents.
Experience
Using Microsoft Office applications.
Applying project management fundamentals in a work setting.
Preparing meeting notes, reports and other written materials.
Assisting with meeting and event scheduling and management.
Supporting project work in a fast-moving environment.
Ability to:
Establish and maintain effective working relationships within and outside the organization.
Communicate verbally and in writing.
Investigate and resolve issues and provide a positive experience in all interactions.
