Description
The Department of Community Corrections and Rehabilitation (DOCCR) is seeking an Intermediate Administrative Assistant. This position requires a high level of proficiency and independent decision-making with administrative functions and the ability to communicate directly with executive level leadership. For more information visit employee referral program.Location and hours:This position is hybrid and will be performed on-site at least two days a week at the following locations: Brookdale Probation Office, Brookyln Crossings, and the Government Center at 300 South 6th Street, MN 55415; and remote as job duties require. Work hours will be Monday through Friday from 8 a.m. - 4:30 p.m. While this position is designated as hybrid, based on current requirements hires must reside in or relocate to Minnesota or Wisconsin. New employees who are hired into remote or hybrid positions between January 2, 2022, to December 31, 2024, will receive $500 toward the cost of establishing consistent internet connectivity, payable upon completion of 6 months of employment. In this position, you will:
· Investigate and recommend action regarding complaints about services, operations, policies, or procedures, assist in resolving organizational issues.
· Provide supervision or work direction to support staff.
· Recommend policy and procedure review and propose/evaluate policy alternatives.
· Evaluate performance of a divisional operation based on stated goals and objectives.
· Select, develop, implement, and administer specialized training for division.
· Provide administrative project work in a division wide staff for business operational functions such as IT, accounts payable, accounts receivable, purchasing, etc.
· Serve as a representative for the operational functions of the division.
Need to have:
· One of the following:
o Bachelor's degree or higher in public administration, business administration, or other field appropriate to the position and two or more years of experience in general administrative work relating to the management of departmental/organizational operations or in a specialty area appropriate to the position.
o Six or more years of experience in general administrative work related to the management of departmental/organizational operations or in a specialty area appropriate to the position.
· Note: Experience in general administrative work related to the management of departmental/organizational operations or in a specialty area appropriate to the position may be substituted for education on a year for year basis. General administrative work is defined as the administration and/or management of programs, policies, and/or budgets.
Nice to have:
· Experience:
o Using the Correctional Services Technology Solutions (CSTS) client tracking system.
o Supervising staff and assisting them in achieving high performance standards.
o Facilitating group discussions.
· Knowledge of:
o Administrative principles and practices relating to the management of departmental operations; budget analysis and preparation; policy, procedure, and legislative analysis; applicable laws and regulations.
· Ability to:
o Establish and maintain working relationships within and outside organization.
o Perform complex general administrative work, including adapt to changing circumstances, manage competing priorities and respond to last minute requests. Work independently with minimal direction; prioritize work; handle multiple demands and competing priorities; and process documents efficiently.
o Communicate both verbally and in writing to variety of audiences.
