JOB DESCRIPTION
Summary/Objective
The warehouse receiving and shipping manager plans, organizes, monitors, loads and unloads the receiving, shipping, and storage of all food and dry goods received from donors. The supervisor ensures there is a smooth and consistent operation so that food/dry goods are located and distributed to proper warehouse and truck areas in an effective, fast and efficient manner ensuing proper storage. Counts product accurately and efficiently, preparing the trailer for shipping.
The position maintains site maintenance of equipment, buildings and property with approval from their Executive Director. Maintains cleanliness and safety of facilities and grounds.
This position manages all employees of the department and is responsible for the performance management and participates in the hiring process of the employees within that department with approval from Human Resources and the Executive Director.
Must be able to work a daily flexible schedule including changing start and end times and including occasional Saturdays. Will work in freezer, cooler, and dry warehouse as needed.
Completes minimal office tasks.
Other duties as assigned by Regional Warehouse Manager or Executive Director.
The manager is encouraged to volunteer once a month at one of the monthly distributions to see the impact our ministry has on people in the community.
Essential Functions
Warehouse Responsibilities
Supervision
Engages in the typical responsibilities of a manager/supervisor requiring planning, evaluating, organizing, integrating, delegating, and leading.
Works with Human Resources to maintain a personnel structure and staffing level to accomplish the warehouse shipping and receiving mission and monthly, weekly and daily goals in an effective and efficient manner.
Plans and coordinates work, trains and motivates, monitors and evaluates performance of warehouse and receiving associates; ensures their ability to safely operate material handling equipment to move materials to and from storage configurations. Seeks out coaching and approval to counsel, record and discipline employees as necessary. Provides on the spot feedback to employees when corrective action is needed and on the spot feedback to employees for a job well done.
Develops crew backup leader to effectively oversee the daily routines of the warehouse employees.
Carries out manager responsibilities in accordance with the company policies, OSHA/Safety responsibilities, and applicable laws and seeks guidance from Regional Warehouse Manager if there are any concerns or issues. Leads by example with the Home and Away Ministry Code of Ethics and Values, and Guiding Workplace Principles.
Recommends improvements to reduce costs and drive productivity within the department while achieving goals.
Be the primary communications link to warehouse workers, including, but not limited to warehouse information, advances, maintenance coordination, performance counseling and dissemination of general company news and information in conjunction with Regional Warehouse Manager.
Represents the ministry in a professional and courteous manner.
Volunteers/Community Service – supervises any volunteers and Community Service people.
Warehouse, Equipment and Building
Drives forklift and vehicles.
Maintains maintenance of equipment, buildings and property.
Maintains cleanliness of warehouses, offices, bathrooms, halls, grounds, parking lot, etc.
Participant on Safety Committee.
Shipping and Receiving of Food/Dry Goods
Monitors and unloads and loads all food/dry goods in and out of the warehouse department.
Ensures food is staged for counting and inspection.
Ensures receiving reports (BOL) accurately report material received and shipped.
Responds to warehouse workers when there is questions regarding BOLs and preparation for food lists.
Oversees the movement of material from receiving/shipping to and from the warehouse in an efficient, effective and safe manner.
Loads and unloads trailers:
· Shipping
o Verifies before shipments are sent to Food Distributions that there are 18-21 items (approx. 70 lbs. of food per guest) on the Site Food List; if Food List does not meet (18-21 items approx. 70 lbs.) adjusts it.
o Ensures and quality of food is good, expiration dates are acceptable, and all boxes are clean before being shipped and sends same day to Inventory Specialist
o Verifies all food placed on truck and signs and dates document that all food is on the truck for each shipment
o Makes sure that cold pallets have freezer blanks to cover at distribution sites
· Receiving
o Ensures all food is labeled with the date of where it came from and the time/date received
o Ensures and quality of food is good, expiration dates are acceptable, and all boxes are clean before being shipped
o Verifies all food placed on truck and signs and dates document that all food is on the truck for each shipment and sends same day to Inventory Specialist
· Food Spoilage
o Monitors the spoilage of food and obtains approval from Manager to either distribute food, throw away the food or donate it to a pig farmer.
o Alerts Manger when there are companies that continually donate spoiled food to the organization
· Food/Dry Good Storage
o Daily records and maintains records temperatures for coolers, freezer, and reefer trailer that are running. Maintains temperature of warehouse to accurate temperature for dry storage.
o Ensures food is stored properly to conserve space and comply with safety procedures. Monitors the rotation of food within the warehouse.
o Monitors the measuring, receiving, shipping and warehouse performance for accuracy of food placed in warehouse, receiving reporting, movement and storage of food, and transfers of food.
Maintains health inspector regulations.
Food Inventory
Food List – Creates list of food to be shipped to food distributions. Sends special instructions for food (labeling and safety guidelines) to Social Media and Distribution Site Leader Coordinators. Receives special Distribution Site requests from Coordinators.
Maintains food inventory for warehouses:
· Enters BOLs from warehouses, including cold storage warehouses.
· Enters adjustments for food removed.
· Conducts annual physical inventory.
· Weekly Cycle Counts to Reconcile Inventory - double check random items and count them; compares to Inventory System; fixes if needed.
Coordinates inventory for special events/requests.
Needs to belong to recall websites FDA, MN, WI, IL, Iowa and ND and as we expand belong to other locations.
Food Lists
· Walk through the warehouse, open up boxes, physically counts food and creates Food List. Gives Food List to warehouse workers to pull the inventory for each Food Distribution.
· Backup - Receives Food Lists back from warehouse worker after they have pulled, weighed and loaded food. Reviews and sends Partial Food List to the Program Coordinator, makes final food list and sends copies to Site Program Coordinators for the site.
· Backup - Creates Final Food List that driver takes with them to the Distribution Site.
Food Quality and Expiration Dates
Daily reviews inbound and outbound food for expiration dates. Follows organization food quality and expiration date guidelines; ensures warehouse workers are in compliance as well.
Office Responsibilities
Data Entry
· Backup - Enters into inventory system incoming and outgoing product, spoiled food and donations to other organizations. Enters transfers when sending product to other warehouses. Finishes transfers when receiving product from other warehouses. Scans all documents on server.
· Orders Cold Storage in collaboration with Food Sourcing Director (1 or 2 times a week).
Other Office Duties
· Participates in Interviewing and hiring warehouse employees
· Sends Executive Director PO requests and waits for approval.
· Volunteer/Community Service – contacts Volunteer Coordinator with person’s name, email and phone number. Signs Community Service paperwork, making sure correct hours, dates, etc. are on the paperwork, makes a copy of the completed paperwork and sends it to the Volunteer Coordinator. (rarely)
· Calls pig farmers to pick up bad food, as needed.
· Calls for roll off dumpster pickups, as needed.
· Calls for pallet pickups, as needed.
· Works with Food Sourcing Director to determine space available for inbound product.
· Sends Food Sourcing Director pallet counts from product received for donor formal receipts.
Backup to warehouse employees.
Other duties as assigned by Regional Warehouse Manager or Executive Director.

Work Environment
This job operates in a warehouse and office environment. This role routinely uses and must be able to use a forklift, pallet jack and other tools to work in the warehouse. This role routinely uses and must be able to use standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Technology skills
Must be proficient on the internet, keyboarding, Outlook email, Word and Excel.
Physical Demands:
Work an 8 hour shift including standing for 8 hours or sitting for 8 hours depending upon tasks
Lift 25 pounds continuously, 50 pounds throughout the day
Operate a forklift and pallet jack
Obtain and maintain a driver’s license in order to drive any company cars
Work around maintenance and cleaning chemicals, dust, fumes, and body sweat

Previous experience
A degree in warehouse management or management is preferred, equivalent experience will be considered as well.
