The Hennepin County Public Health Clinic is seeking to fill an Office Specialist III position. The clinic is embedded within a department with the mission to strengthen communities by improving the well-being of individuals and families by reducing health disparities. This position will work within a dynamic team of health professionals that are responsible for the following job functions: patient scheduling and registration, front desk procedures, customer service, waiting room and patient flow management, telephone service, and cash reconciliation. The Public Health Clinic is a respected leader in providing sexual health services, comprehensive testing and treatment for tuberculosis, and refugee health exams. It is home to the Red Door Clinic, Minnesota’s largest HIV and sexually transmitted infection clinic. The Public Health Clinic is a multi-discipline clinic that serves a diverse patient population. It is a fast paced, evolving environment that is committed to providing culturally appropriate, accessible services and inclusive patient care. Effective January 1, 2023, there will be a general salary increase of 2.5% to the minimum and maximum of the range. Location and hours: This position is located at the Public Health Clinic at 525 Portland Avenue, Minneapolis, MN 55415. Work hours will be Monday through Friday, 8 a.m. to 4:30 p.m. and will require working one evening shift per week. No overnight, weekend, or holiday shifts are required. About this position type: This is a full-time, benefit-earning position. This position is internally classified as an Office Specialist III. Click here to view the job classification specification. This position is subject to the federal Centers for Medicare and Medicaid Services (CMS) Interim Final Rule on COVID-19 Health Care Staff Vaccination. As such, it requires the job offer to be conditional based on the candidate being fully vaccinated for COVID-19. “Fully vaccinated” means 14 days after receiving the second dose in a two-dose vaccination series approved by the U.S. Food and Drug Administration (FDA) on a full or emergency-use basis, or 14 days after receiving a single-dose vaccine approved by the FDA on a full or emergency-use basis. After a conditional job offer is made, the candidate must show proof of full vaccination prior to their start date. A COVID-19 vaccination card from the Center for Disease Control and Prevention (CDC), a vaccination record from your doctor’s office or a personal digital vaccination record constitutes sufficient “proof.” The candidate must also attest they are vaccinated by completing a form on the first day of employment. Reasonable accommodations to this vaccination requirement will be considered upon request by a candidate for medical or religious reasons as required by applicable law. In this position, you will:
Deliver front desk services and manage patient flow as a member of the clinic's administrative services team.
Register and schedule patients’ clinic appointments by telephone and in-person using the medical electronic health record, Epic.
Create patient charts, perform data entry, manage health information, and coordinate transportation and interpreter needs of clients.
Work with various databases to input, retrieve, export, and modify information.
Participate in the clinic's quality improvement projects focused on improving patient outcomes and other administrative functions.
Need to have:
One of the following:
Two years or more of full-time office clerical experience.
Completion of two years or more of post-high school education.
18 months or more of office clerical experience and completion of the Office Specialist Pathway Training program or the Healthcare Clerical Pathway Training program.
One year or more of office clerical experience and completion of the Human Services Pathway Training program.
Nice to have:
Two years or more experience working in a healthcare environment performing scheduling, registration, and other front desk duties.
Two years or more experience using an Electronic Health Record (EHR) system such as Epic, Epic Cadence, and/or Epic Prelude.
Experience:
Utilizing Microsoft Office (Teams, Word, Excel, PowerPoint, and Outlook).
Providing service in a culturally diverse area and communicating with a diverse group of patients and health care professionals.
Working with diverse populations that may present with social vulnerabilities and have a history of experiencing barriers to health care such as mental health, opioid addiction, poverty, unstable housing, etc.
Handling a high volume of inbound and outbound calls in a call center setting.
Knowledge and understanding of health care disparities.
Excellent customer service skills with the ability to conduct oneself professionally and handle sensitive/difficult issues in a tactful manner.
Ability to work in a fast-paced environment.
