Description
The Finance division of the Hennepin County Sheriff’s Office is seeking a Senior Administrative Assistant. The Finance division works with the Civil division to handle civil process and legal matters. Location and hours:
This position is hybrid and will be performed both at the City Hall, 350 South 5th Street, Minneapolis MN 55487 (a minimum of three days a week), and remote as job duties require. Work hours will be 7:30 a.m. to 4 p.m. Monday through Friday. While this position is designated as hybrid, based on current requirements hires must reside in or relocate to Minnesota or Wisconsin.New employees who are hired into remote or hybrid positions between January 2, 2022, to December 31, 2024, will receive $500 toward the cost of establishing consistent internet connectivity, payable upon completion of 6 months of employment.
About the position type:
This is a full-time, benefit earning position. This position is internally classified as an Administrative Assistant.
In this position, you will:
· Perform and oversee all administrative functions relating to all types of Sheriff’s Office sales.
· Perform and oversee administrative functions relating to Writs of Execution.
· Analyze complex legal documents to ensure compliance with Minnesota Statutes.
· Communicate with attorneys, creditors, debtors, and other parties.
· Maintain databases and spreadsheets.
· Prepare and review legal documents.
· Monitor and manage Sheriff’s Office contracts.
· Provide direction and knowledge to internal customers and vendors during contract development.
· Ensure compliance with Hennepin County Purchasing Rules Minnesota Statues.
· Sheperd contracts through Hennepin County's review and approval process.
Need to have:
· One of the following:
o Bachelor's degree or higher in public administration, business administration, or other field appropriate to the position and four or more years of experience in general administrative work relating to the management of departmental/organizational operations or in a specialty area appropriate to the position.
o Eight or more years of experience in general administrative work relating to the management of departmental/organizational operations or in a specialty area appropriate to the position.
· Note: Experience in general administrative work related to the management of departmental/organizational operations or in a specialty area appropriate to the position may be substituted for education on a year for year basis.
Nice to have:
· A valid notary public commission.
· Knowledge of:
o Administrative principles and practices relating to the management of the Sheriff's Office operations.
o Policy, procedure, and practice analysis.
o Minnesota Statues: Chapters 550, 580-582.
o Contract negotiation techniques.
o Rules and regulations governing the receiving and distribution of public funds.
· Experience in:
o Project managing and planning.
o Negotiating contracts with vendors.
o Using Microsoft Word, Excel, and Outlook.
o Using CivilServe and RecordEASE.
· Ability to:
o Provide effective written and verbal communications and consistently follow up on issues as necessary.
o Have effective organizational skills.
o Work effectively under pressure, exercise good judgement, and meet deadlines.
