Description
Hennepin County's Office of Workforce Development is seeking an individual with excellent organizational and communication skills to provide administrative support to the Workforce Development director, managers, and team with a broad range of tasks including program and project assistance and general department support. This position will also provide administrative assistance for the Hennepin-Carver Workforce Development Board and the Hennepin County Workforce Leadership Counsel including scheduling, preparing for, and setting-up virtual and in-person meetings. Location and hours:This position is remote. Remote workers may be required to come on-site an average of 0 to 12 days a year for work meetings, trainings, or for any other reasons that their supervisor may deem necessary (may include additional days for onboarding and new employee training). Supervisors will provide as much advance notice as practicable. This position requires travel to work locations within Hennepin County that are not served by public transportation. The hours are Monday through Friday 8 a.m. - 4:30 p.m. While this position is designated as remote based on current requirements hires must reside in or relocate to Minnesota or Wisconsin.New employees who are hired into remote or hybrid positions between January 2, 2022 to December 31, 2024, will receive $500 toward the cost of establishing consistent internet connectivity, payable upon completion of 6 months of employment. · Triage and assist with urgent department needs and requests; notify necessary stakeholders of program problems and concerns, planned response action(s), and outcome(s).
· Plan and coordinate specific departmental projects and activities.
· Assist area director and managers with scheduling meetings and meeting communication, schedule and facilitate team meetings, and prepare agendas and meeting minutes.
· Distribute internal and external communications, work with the Communications department on large communication needs, and manage distribution lists for internal and external contacts.
· Record and update information (including complex financial data) in a variety of formats.
· Write, prepare, and proofread specialized correspondence, lists, reports, and other standard office documents; develop forms and/or assist with revision.
· Assist management throughout the hiring process, provide staff hiring assistance utilizing the NEOGOV applicant tracking system to review applicants and schedule interviews.
Need to have:
· One of the following:
o Three or more years of office clerical experience.
o 30 months or more of office clerical experience and completion of the Office Specialist Pathway Training program.
o A combination of office clerical experience and post high school education, totaling 3 years or more (3 semester credits = 1 month).
Nice to have:
· Experience:
o Working on workforce development initiatives.
o Concurrently managing multiple projects.
o Managing multiple calendars and providing administrative support to high level managers.
o Developing communication items and presentation materials.
o Creating and modifying SharePoint sites.
o Using ECF, Workforce One and MAXIS.
· Excellent verbal and written communication skills; experience using business correspondence format and style.
· Strong analytical and organizational skills with the ability to handle multiple, complex projects/tasks, recognize priorities, and meet deadlines.
· Advanced skill working with Microsoft Office (e.g., Word, Excel, and PowerPoint) and SharePoint.
· Ability to maintain effective working relationships at all levels of the organization and work collaboratively with individuals and groups in a variety of industries.
