Description
Hennepin County Library (HCL) is seeking an Administrative Assistant to provide administrative support to the Library Director and serve as clerk to the Library Board. The best candidate will be a motivated self-starter who is able to manage multiple demands and prioritize work.

Location and hours:
This position is hybrid and will be performed both on-site at the Ridgedale Library at 12601 Ridgedale Drive, Minnetonka, MN 55305, Central Library at 300 Nicollet Mall, Minneapolis, MN 55401, and remote as job duties require. Work hours will be Monday through Friday, with typical hours of 8 a.m. to 4:30 p.m. While this position is designated as hybrid, based on current requirements hires must reside in or relocate to Minnesota or Wisconsin.

In this position, you will:
· Provide administrative support to the Library Director including managing their schedule and correspondence, preparing agendas and documents for meetings, managing reports, and serving as liaison to the County Board offices.
· Serve as clerk to the Library Board; manage and prepare monthly Library Board packet; complete minutes for board and committee meetings; coordinate monthly presentations and documents; maintain the Library Board website; plan and coordinate annual new member orientation; file expense reports for Board members, support Hennepin County Clerk during Library Board open appointment process and assist Board members as needed.
· Provide administrative support to senior leaders.
· Respond to patron and vendor calls, resolving or referring as appropriate.
· Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and making adjustments to plans.
· Manage Library Board and Director's office historical and current files.
Need to have:
· One of the following:
o Four or more years of general administrative work experience relating to the position or in a specialty area appropriate to the position.
§ Note: General administrative work is defined as the administration and/or management of programs, policies, and/or budgets.
o Bachelor's degree or higher in education, public administration, or other field appropriate to the position.
Nice to have:
· Experience:
o Writing reports and correspondence.
o Preparing meeting agendas and taking meeting minutes.
o Using Roberts Rules of Order and open meeting laws.
o Providing customer service to internal and external customers.
o Assisting with meeting and event scheduling and management.
o Using Microsoft applications such as SharePoint, Word, PowerPoint, Excel, Teams, and Outlook.
· Ability to:
o Manage multiple demands and prioritize work.
o Maintain confidentiality and discretion.
o Solve problems, meet needs and create a positive customer experience.
o Contribute to a work environment where all are respected, valued and welcomed.
