Job Skills / Requirements
The Administrative Assistant is responsible for the day to day administrative support of the Director of Operations.
Perform and coordinate special projects as assigned.
Handle confidential information in a professional and discreet manner.
Compose letters, memoranda, and other documents.
Maintain account and customer information and generate reports.
Maintain and file account documentation.
Update job cost sheets.
Enter and update work ticket requests.
Track incoming customer contracts.
Schedule and attend meetings. Take and distribute meeting notes.
Call customers to confirm service satisfaction.
Additional administrative duties as required.
Vacation tracking, Payroll, Badging, Uniforms etc.

This is a Fulltime position requiring in office work at our St Paul location for work schedule.

Essential Skills and Experience:
3-5 yrs of Administrative Assistant experience required
Excellent written and oral communication skills. Incumbent will work directly with employees, managers, executives, vendors, and customers.
Must possess a high level of attention to detail.
Prioritize and plan work activities; Use time efficiently.
Ability to identify and resolve problems in a timely manner; Use reason even when dealing with emotional topics.
Ability to take initiative, maintain a positive attitude, be self-motivated and work effectively on projects with minimal direct supervision. Ability to work independently and set own priorities.
Ability to resolve issues while maintaining a good working relationship with internal and external customers.
Adapt to changes in the work environment; Manage competing demands; Change approach or method to best fit the situation; Able to deal with frequent change, delays, or unexpected events.
Willingness and ability to work on both individual and team projects.
Computer productivity software knowledge – Microsoft Office and database applications
